Your photos are yours.

This notice explains how Pixentra HQ handles your personal data. Last updated June 2026.

Who we are and who controls your data

Pixentra HQ is the seller and operator of this service. Pixentra HQ is the data controller for the personal data described on this page, which means we decide what data is collected and why. You can reach us at contact@pixentrahq.com.

What we collect

When you create an account we store your email address and a display name. When you upload a photo we store the image file, its filename, and the mentor's written feedback. When you mark a challenge as done we record which challenge and the date. We also keep basic technical records such as sign in events and error logs so the service stays secure and working.

Why we can process it

We process your account details, uploads, and feedback to perform our contract with you, which is providing the mentoring service you signed up for. We process security and error records under our legitimate interest in keeping the service safe and reliable. Optional emails such as the weekly recap are sent with your consent, which you can withdraw at any time. Where the law requires us to keep records, for example tax records tied to a purchase, we process that data to meet a legal obligation.

Who can see your photos

Only you. Every saved analysis, favorite, and challenge completion is scoped to your account at the database level. Uploaded images are stored in a private bucket and served to you through short-lived signed links that no one else can guess.

Payments and billing

Our order process is conducted by Stripe, which acts as Merchant of Record for our orders and handles payment, billing, tax, invoicing, receipts, and refunds. When you buy a membership or a portfolio review, the personal data needed to complete the sale, such as your email address, billing name, billing address, country, and payment details, is collected and processed by Stripe as an independent controller under its own privacy policy at stripe.com. Stripe shares limited information back with us, such as your subscription status, plan, billing period, and a customer reference, so we can give you access to the plan you paid for. We never receive or store your full card details.

How your photos are analyzed

When you upload a photo, the image is sent over an encrypted connection to an automated analysis provider that processes it ephemerally to generate the written feedback, critique, frame fixes, bold direction, or focus reading you see in the app. The image is never used to train public models. We do not show your photos to other users.

Who we share data with

We share personal data only with the categories of recipients needed to run Pixentra HQ: our hosting, database, storage, and authentication provider; our automated analysis provider; our email delivery provider; Stripe as Merchant of Record for the sale of our products; professional advisers such as accountants and lawyers where needed; and public authorities where the law requires it. We do not sell your data.

How long we keep it

Account data, uploads, and feedback are kept for as long as your account is open, and are deleted when you delete your account. Deleted uploads and analyses are removed from our live systems immediately and fall out of routine backups within 30 days. Security and error logs are kept for up to 12 months. Records connected to a purchase, including invoices held by Stripe, are kept for as long as tax and accounting law requires, which is typically 6 to 10 years depending on your country. Anything we no longer need is deleted or anonymized.

Your rights

Depending on where you live, you can ask for a copy of your data, correct it, delete it, restrict or object to how we use it, receive it in a portable format, or withdraw consent for optional emails. Contact us and we will respond within one month. If you are in the UK or EEA and are unhappy with our response, you can complain to your local data protection authority.

Security

We use appropriate technical and organizational measures to protect your data, including encryption in transit and at rest, row level access controls that scope every record to its owner, private storage with short-lived signed links, and restricted administrative access.

International transfers

Our hosting, analysis, email, and payment providers may process data outside the UK and EEA, including in the United States. Where that happens we rely on appropriate safeguards such as UK and EU Standard Contractual Clauses or an adequacy decision.

Email

We email you only for account-related things: sign-in, password resets, and the optional weekly recap, which you can turn off any time from Settings.

Deleting your data

You can delete any saved analysis from your History at any time. To remove everything (your account, all photos, all feedback, all challenge completions), open Settings and choose "Delete my account". This is immediate and irreversible.

Cookies & tracking

We use a session cookie kept by your browser to keep you signed in. We do not run third-party advertising trackers.

Hosting

The app runs on secure cloud infrastructure for the database, storage, and authentication. Data is encrypted in transit and at rest by the underlying provider.

Questions

If something on this page is unclear or you'd like a copy of your data, reply to any account email you receive from us and we'll get back to you.
